Is Odoo ERP system suitable for educational institutions?

October 13, 2026 by
Educational institutions, such as schools, gymnasiums, colleges, and universities, have a multitude of processes to manage. Most schools today do this digitally, but often use multiple unrelated systems: i.e. class schedules, staff administration, communication with parents, events, and tuition fees are each managed across several separate platforms.

That is why more and more educational institutions are looking for a way to consolidate these processes into one platform, and one of the most obvious choices is ERP systems, such as Odoo. However, knowing that it's a software primarily designed for business management, the question naturally arises – is this system suitable for schools too?

What are the main challenges educational institutions face?

Regardless of their size or type, most educational institutions face similar problems.

First of all, managing processes across multiple programs means that data about students, teachers, and the institution's finances is kept in several different places. This often leads to inaccuracies and duplicate information, which eats up a lot of time.

Additionally, many educational institutions still carry out certain processes manually, from creating schedules and planning classrooms to managing finances. The lack of automation takes time and resources, which are usually already in short supply in educational institutions.

And, of course, one of the main concerns is the budget – many educational institutions, especially in the public sector, cannot afford expensive systems with a compelx set of functionality. They need a cost-effective solution that allows them to implement only the tools that are actually needed but, at the same time, leaves room for growth and changing needs.

What is the Odoo ERP system?

Odoo is a modern business management (or ERP) system that operates based on a modular structure. This means that accounting, CRM, human resources, project management, etc. are installed as separate, yet interconnected modules. This allows institutions to start with a few core areas, such as student administration and accounting management, and then add additional modules as needed. Odoo is also an open source system with unlimited customisation options (both by adapting standard modules with new functionality and, if necessary, by developing completely new modules).

This flexibility is exactly why Odoo is becoming an increasingly attractive alternative to specialised school management systems. The educational institution only pays for what it actually needs, and all processes are in one, securely managed environment with clearly defined access rights for different user groups.

Here are some examples of areas and processes that Odoo can help manage in educational institutions:

  • Admissions and registration: From the initial student inquiry to registration confirmation – the entire process is recorded in one system, and the CRM functionality helps track the flow of candidates, without missing any inquiries.

  • Schedules and classroom planning: Assignment of classes, teachers, and facilities is managed in one place and automated, reducing the risk of schedule overlaps.

  • Student information management: Centralised academic records, attendance, and progress data, accessible to the relevant user groups.

  • Parent and student self-service portal: Access to schedules, grades, and learning materials without additional calls or emails to the administration.

  • Management of teachers' workload: Administration of work schedules, vacations, and other personnel processes in one place with Odoo HR solutions.

  • Payments, contracts, and subscriptions: The Odoo accounting system allows for easy invoicing, payment reminders, managing scholarships and discounts – less manual work and, as a result, a lower likelihood of errors.

  • Inventory and IT equipment maintenance: Accounting of all resources and automatic reminders about equipment maintenance.

  • Events, communication, and email campaigns: Convenient planning and management of open days, admission campaigns, school events, and internal communication.

  • Integration with finance, procurement, and projects: Not only academic but also operational and project activities of the institution in one system.

  • Reports and activity analysis: Real-time data on admissions and the institution's financial status, helping to make better-informed decisions.
This core is often complemented by the E-Learning module – for managing course materials, tests, and certificates, especially relevant for institutions offering remote or hybrid learning.

Case study: Saigon South International School (SSIS)

Amongst Odoo users, there are numerous educational institutions operating all over the world. These are publicly listed on the official Odoo References page.

One such example is the case study of Saigon South International School. Founded in 1997 in Ho Chi Minh City, Vietnam, SSIS is one of the oldest K-12 international schools in the region, offering American-standard education. The school has approximately 1,600 students and employs approximately 400 teachers and staff.

Before the Odoo system, SSIS managed its processes manually, mainly using Excel spreadsheets. This led to frequent errors and scattered information, and there were no options to update reports in real time. The institution was also looking for ways to smoothly manage all variable factors, such as optional services with different fee catalogs, study discounts, and management of state scholarship funds. They wanted an educational institution management system that was powerful and centralised, yet flexible enough to meet their unique needs.

Saigon South International School implemented Odoo, along with modules such as Sales, CRM, Purchasing, Expenses, and Personnel Management. The system allowed the institution to automate tuition fee management, manage complex (variable) processes more efficiently, and manage expenses and budgets more conveniently. Thanks to all this, the school saw improvements in several other processes:

  • The time to create invoices has decreased from 2 hours to 10-15 minutes.
  • The average payment cycle has shortened from 16 days to 12 days.
  • The admissions process has become much more transparent.
